How the business runs today.
A small studio in a central downtown location. The owner is one of the coaches; the second coach comes out of competitive powerlifting. The studio grows by referral alone — members bring members, and trial-session requests arrive as direct messages on Instagram. Variance is high: five requests in a good week, none in a bad one. There is a website, but it's the output of a five-year-old website builder — logo, address, a static gallery. Conversion does not happen there. It points to Instagram. That is also where it then quietly disappears.
What's actually going wrong.
Inquiries are not predictable.
Trial-session requests swing by a factor of five week over week. A bad week costs a monthly subscription — and the owners book coaches by the hour. No predictable inquiry stream means no predictable cashflow.
Four hands before a slot is confirmed.
An inquiry arrives as a DM. The owner sees it after closing, asks the second coach on a different channel for availability, then writes back. By the time a slot is confirmed, 24 hours have passed. Three out of ten leads have already moved on by then — to the competitor five blocks down.

First contact is the only conversion path. Each extra click to a sub-page costs leads. We place the form where the eye lands first — not behind a navigation menu.
Coach profiles with a clear specialty.
Powerlifting, mobility, return-to-training — visitors searching for that don't scroll through two pages. Profiles with a clear focus turn coaches into the brand, not the studio logo.
Schedule open and filterable.
The most common first-contact question — “Got Wednesdays at 7 p.m. open?” — is answered by the page, not by a DM three hours later.
Mobile-first, no compromise.
Ninety percent of first contacts come from a phone after a story tap. A mobile experience that is just a shrunken desktop loses here.
Inquiries land directly in the coach inbox.
No third-party CRM between visitor and coach. An email with the chosen slot in the subject line — the coach sees it between two sets and replies from the floor. Sub-hour response time becomes realistic.
